Te āheinga: The opportunity

We are looking for a Senior Meeting Coordinator to support the delivery of effective and compliant meetings across our organisation. In this role, you will play a key part in our governance processes, ensuring meetings are well-planned, legally compliant and professionally documented. Your work will directly support transparent decision-making and enable our Council, committees and advisory groups to operate efficiently and effectively.

Nga Kawenga me nga Mahi: Responsibilities and Duties

The Senior Meeting Coordinator will:

  • Schedule and coordinate meetings across the organisation.
  • Prepare and distribute agendas, notices and supporting documents.
  • Organise venues, equipment and catering.
  • Take and distribute accurate minutes and action items.
  • Maintain and file meeting records according to Council policies.
  • Ensure compliance with policies, procedures and legislation.
  • Coordinate live streaming of meetings where required.
  • Support improvements to meeting processes and systems.

To be successful in this role, we are looking for someone with:

  • Previous experience in local government or public service administration.
  • Strong organisational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to navigate high-pressure environments calmly.
  • Ability to maintain confidentiality and exercise good judgement.
  • A flexible and adaptable approach.
  • Proficiency in Microsoft Office and meeting management software.
  • Knowledge of governance processes and relevant legislation.
